Privacy & Safety

This notice explains how Happy Mail Tools handles account information, private contact and mail records, security, and the planned optional newsletter.

Effective September 24, 2026

Information you provide

When you use Happy Mail Tools, you may provide an account email address and information you choose to save about your contacts, including names, mailing addresses, contact methods, birthdays, family notes, preferences, group memberships, private notes, and mail activity.

Please add information only when you have a legitimate personal reason to keep it. Do not add sensitive information that is unnecessary for organizing your Happy Mail.

How information is used

Account information is used to create and secure your account, confirm your email address, help with password recovery, and provide service-related notices. Contact and mail information is used to provide the organization, dashboard, import, export, and tracking features you request.

Private contact and mail records are not used to create advertising profiles and are not shared with sponsors or advertisers.

Private records and account separation

Happy Mail Tools is an organizational service, not a public directory, matching service, or social network. Your saved records are intended to be available only within your account. Each account is separated through authentication and database access controls.

Service providers

Happy Mail Tools uses trusted service providers for website hosting and delivery, account authentication, database storage, security, domain and DNS management, and business email. These providers may process account identifiers, stored content, communications, device or connection information, and technical records when necessary to provide their assigned services.

Ko-fi provides the optional tip page, and PayPal processes payments made through the currently connected payment option. If you choose to leave a tip, Ko-fi and PayPal may collect and process transaction and contact information under their own privacy policies. Happy Mail Tools does not receive or store your payment-card or bank-account details.

Happy Mail Tools does not sell or rent account information, private Contact information, or Mail Tracking records. A current list of material service providers is available by contacting privacy@happymailtools.com.

Optional newsletters and advertising

Happy Mail Tools may later offer an optional newsletter containing site news, Happy Mail ideas, sponsor messages, advertisements, or affiliate links. Joining the newsletter will be a separate choice from creating an account. Marketing consent will not be preselected.

Newsletter recipients will be able to unsubscribe. Happy Mail Tools does not sell or rent account email addresses or private contact information. Sponsors will not receive the subscriber list merely because an advertisement appears in a newsletter.

Cookies and local storage

Happy Mail Tools may use cookies or similar browser storage that are necessary for sign-in, security, session continuity, and basic site operation. If optional analytics or other nonessential technologies are introduced, this notice and any required choices will be updated before they are used.

Data retention and your choices

Information is kept while your account is active or as reasonably needed to provide the service, protect the site, resolve problems, and meet legal obligations. From the Account page, you can download a complete account-data export in JSON format. You can also separately download your contacts in CSV format.

You may permanently delete your account and the Happy Mail Tools information owned by it. Account deletion cannot be undone, so download any information you want to keep before deleting your account. Some limited records may be retained when required for security, fraud prevention, legal compliance, or newsletter suppression lists.

Security

Happy Mail Tools uses measures intended to protect information, including encrypted web connections, authenticated access, restricted database permissions, and account-level access controls. Service credentials are kept separate from public website code.

No online service can guarantee absolute security. Use a unique password, protect access to your email account, sign out on shared devices, and report suspicious activity promptly.

Address and contact safety

Mailing addresses and personal notes can be sensitive. Store and share them only when appropriate, verify recipients before sending mail, and follow the safety rules of any Happy Mail group in which you participate. Happy Mail Tools does not verify contacts or guarantee the conduct of people outside the service.

Children’s privacy

Happy Mail Tools is not directed to children under 13, and children under 13 should not create accounts. Adults who record information related to children or grandchildren are responsible for limiting it to what is appropriate and necessary.

Changes and contact information

This notice may be updated as Happy Mail Tools adds providers or features. Material changes will be identified by a revised effective date and, when appropriate, an additional notice.

Privacy questions may be sent to privacy@happymailtools.com. Security concerns may be sent to security@happymailtools.com.
